Privacy Policy

StagePass.AI ("StagePass," "we," "us") helps performing artists build and share a public portfolio. This policy explains what we collect, how we use it, who we share it with, and your choices. By using the Service you agree to this policy.

1. Information We Collect

Information you provide

  • Account details: name, email address, password, and birth year
  • For performers under 18: a parent or guardian's name and email, used to obtain and record consent
  • Profile content: bio, tagline, credits, training, skills, genres, physical description you choose to add
  • Media: photos, videos, and audio you upload or embed
  • Identity-verification documents (headshot, photo ID), if you choose to verify

Information collected automatically

  • Profile view counts and referral sources
  • Device type and browser information, and product analytics about how the app is used
  • IP address (used for rate limiting and abuse prevention)

2. How We Use Your Information

  • To create and display your public performer profile
  • To pass booking inquiries from industry professionals to you
  • To provide analytics about your profile's performance
  • To power AI features you choose to use (see §3)
  • To verify your identity when you request it
  • To send transactional and (optional) digest emails
  • To operate, secure, and improve the Service

3. AI Features and AI Sub-Processors

When you use an AI feature (for example: bio and tagline generation, the casting-type analysis, the headshot studio, the scene reader, or self-tape coaching), the inputs you provide are sent to third-party AI providers to produce the result:

  • OpenAI — processes text you submit, audio (transcription), and, for some features, photos you submit, to generate the requested output.
  • fal.ai — processes images for the headshot studio (e.g. background removal).

These providers process your inputs under their API terms; inputs submitted through their APIs are not used to train their models. We screen uploaded images and text for safety before processing. For performers under 18, we do not send photos to AI image analysis, and AI outputs are constrained to age-appropriate, non-appearance-based framing. AI-generated content is labeled and requires your approval before it is published.

4. How We Share Information

We do not sell your personal information and we do not share it for cross-context behavioral advertising. We share data only:

  • Publicly, by design: information you add to a published profile is publicly visible (subject to the additional protections for minors in §8).
  • With service providers (sub-processors) who process data on our behalf, including: OpenAI and fal.ai (AI features); cloud object storage and our database host (storage); Stripe (payments); our email-delivery provider; and Vercel and PostHog (hosting and analytics). The exact list may change; contact us for the current list.
  • For legal reasons: when required by law or to protect rights, safety, and the integrity of the Service.

5. Identity-Verification Documents

Identity-verification documents (headshot, photo ID) are stored in a private, access-controlled location, reviewed only by authorized staff for verification, and never displayed publicly. They are deleted when no longer needed and when you delete your account.

6. Data Retention and Deletion

We retain your data while your account is active. When you delete your account, we remove your profile, uploaded media, identity-verification documents, inquiries, testimonials, and analytics, and we cancel any active paid subscription. Some records may be retained where required by law or for legitimate business purposes (e.g. financial records). Backups are purged on a rolling basis.

7. Cookies and Analytics

We use essential cookies for authentication and session management. We also use product analytics to understand and improve the Service — specifically PostHog (product analytics, which may set cookies and capture interactions) and Vercel Analytics (aggregate traffic measurement). We do not use third-party advertising trackers and do not sell or share data for advertising. Depending on your location, you may have choices about analytics cookies; contact us to exercise them.

8. Minors and Child Performers

StagePass is intended for performers 13 and older. We do not knowingly collect personal information from children under 13; if we learn we have, we delete it.

Performers aged 13–17may use StagePass only with the verifiable consent of a parent or legal guardian. We collect the performer's birth year at sign-up; if the performer is under 18, we require a parent/guardian name and email and record their consent before a profile can be published.

For accounts identified as a minor, we apply added protections by default:

  • the public profile is excluded from search-engine indexing and from our public directory;
  • precise location and physical-description details are hidden;
  • the public contact / booking-inquiry form is disabled (no unsolicited contact from strangers);
  • photos are not sent to AI image analysis, and AI outputs avoid appearance-based or romantic framing.

A parent or guardian may review the minor's information, request its correction or deletion, or withdraw consent (which will close the account) by contacting us at hello@stagepass.ai. StagePass does not currently hold or disburse performer earnings; if we add payment features involving minors, additional protections (such as applicable child-performer trust-account requirements) will apply.

9. Your Privacy Rights

Depending on where you live (including under U.S. state laws such as the California Consumer Privacy Act / CPRA, and the EU/UK GDPR), you may have the right to access, correct, delete, or receive a copy of your personal data, to opt out of the "sale" or "sharing" of personal data (we do neither), and to be free from discrimination for exercising these rights. You can edit or delete most of your data directly in the app (profile editing and account deletion in Settings). To make any other request — including a copy of your data — email hello@stagepass.ai; we will verify and respond as required by law. You may also authorize an agent to act on your behalf.

10. Your Likeness, Voice, and Biometric Information

Photos, video, and voice you upload may be processed by AI to provide the features you request (§3). We do notuse your likeness or voice to train AI models, we do not create AI replicas or "digital doubles" of you without your separate, explicit consent, and we do not sell or license your likeness. To the extent any feature involves biometric identifiers, we will obtain any consent required by applicable law.

11. Security

We use industry-standard measures including encrypted connections (HTTPS), hashed passwords (bcrypt), and access-controlled storage. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

12. International Data Transfers

We and our sub-processors operate primarily in the United States. If you access StagePass from outside the U.S., your information may be transferred to and processed in the U.S. and other countries with different data-protection laws.

13. Changes to This Policy

We may update this policy. We will notify users of significant changes by email or in-app notice. Continued use after changes take effect constitutes acceptance.
